We are currently seeking expressions of interest from suitably qualified candidates to join our database to assist in the management and supervision of our examination venues throughout England and Ireland. Chief exam invigilators may be engaged to manage, assist and supervise on a range of tests administered by the Tertiary and Industry Tools division at ACER UK.

Position context

What chief exam invigilators will assist with:

  • Overseeing the test administration for the whole test centre.
  • Venue inspection.
  • Manage staffing arrangements and allocations for the test centre.
  • Dealing with any escalations from invigilators.
  • Supervise test rooms, and ensure exams remain secure.
  • Check IDs and manage attendance lists.
  • Manage test time and assist candidates.
  • Report any incidents to the ACER office.

We are seeking applicants who:

  • are confident;
  • are great communicators with the ability to give clear instructions and manage a team;
  • have a high attention to detail;
  • has integrity and a calm reassuring presence;

Applicants proficient in the use of computers will be highly regarded. Tests will be delivered via computer as well as in pen and paper formats.

Experience in exam management and supervision is essential.

Availability:

Applicants must be available for the full duration of the exam day and for any required training sessions. Additionally, chief exam invigilators may be required to assist in administrative and other related processes prior to and after the test day.

Dates:

Exams take place throughout the year on both weekends and weekdays. Exam periods will vary depending on the test; however, chief invigilators will be provided with expected dates of attendance well in advance of the testing rounds.

Selection process:

Applicants will be invited to an interview prior to confirmation of appointment at ACER UK.

 

Chief exam invigilators are appointed on a casual basis. Remuneration will be paid at a casual hourly rate of pay relevant to the position being engaged for. The chief exam invigilator position will pay a casual hourly rate of £25 per hour.

Job responsibilities

The primary role of the chief exam invigilator is to manage the test centre and invigilators to ensure the tests are delivered professionally. The chief exam invigilator will be the decision-maker and has full responsibility for the test centre, and for maintaining suitable testing conditions.

Pre-test tasks include, but are not limited to:

  • Attend mandatory Supervisor Training session.
  • Liaise with their team and coordinate a roster for test days, including room allocations and breaks
  • Read over rules and procedures.
  • Complete necessary employment forms.
  • Venue inspection and setup as required.
  • Ensuring testing equipment (computers/laptops) are operational at the test centre.
  • Distributing materials for venue.
  • Collect staff forms and agreements.
  • Declare any conflicts of interest.
  • Coordinate requirements for test takers with reasonable adjustments (RA) approved by ACER.
  • Check/distribute materials for RA test takers (if required).

During the test:

  • Assign tasks to staff.
  • Brief staff.
  • Final venue checks, including:
    • Digital or analogue clocks are synchronised and set up across rooms.
    • Ensuring all computers are working and setup correctly with the test Apps open.
    • Arrangements for test taker registration.
    • Test taker seating.
    • Set-up for reasonable adjustment room(s) (if required).
  • Venue management, including all buildings, levels and rooms.
  • Coordinate staff breaks, ensuring that there are adequate staff observing test rooms.
  • Dispute resolution with test takers (if required).
  • Manage RA room(s) layout and planning (if required).
  • Ensure RA test takers needs are being met (if required).
  • Collate and distribute spare logins

After the test:

  • Review and submit all reports including Incident Reports.
  • Complete Chief Invigilator Report.
  • Collect and approve time sheets from staff.
  • Scan test materials and upload via the Portal to ACER and securely store for secure destruction at the end of the test window.
