Position overview
The People and Culture Assistant provides support in the provision of people and culture services to the organisation.
Position context
The People and Culture function reports directly into the CEO and provides business partnering services, support and assistance across the entire employee lifecycle within ACER. This includes recruitment and selection, employee relations, learning and development, health, safety and wellbeing, culture and change, performance management, equity and diversity and workforce planning.
The People and Culture Assistant is responsible for providing administrative support and assistance to the ACER People and Culture Team and will have carriage of the routine administrative requirements of the department as listed below.
Job responsibilities
- Provide day to day administrative support to the People and Culture department to support the “end to end” employee experience and the delivery of People and Culture’s operations;
- Record and monitor working with children checks, work right documents, visas and any other employment documentation for ACER employees;
- Manage the casual contract processes, including the preparation of casual contracts, liaising with various project/research Managers to establish casual needs, responding to casual staff members queries, distributing employment paperwork, arranging completion of compliance modules and any other requirements related to employment of casual staff;
- Work closely with the People and Culture Business Partners to coordinate the administrative processes associated with contract renewals, variations, increments, probation, higher duties allowance and advancement;
- Work closely with the People and Culture Business Partners to co-ordinate and manage the recruitment, on-boarding and off-boarding processes for employees, contractors and temporary staff;
- Assist with routine and administrative aspects of the professional development and training of staff including registering staff on training courses and maintaining the staff development fund database;
- Proactively contribute to the development, updating, and maintenance of P&C documents, forms, templates and any other relevant documentation to ensure compliance and consistency of processes and procedures;
- Assist with the co-ordination of People and Culture events including but not limited to training sessions;
- Support the development and analysis of People and Culture metrics including preparation of both scheduled and ad- hoc reports;
- Act as the first point of contact for internal and external stakeholders’ queries by managing the people and culture inbox and escalating them to the appropriate People and Culture team member where appropriate;
- Assist with the data collection and maintenance of staff records through ACER HRIS system and support data integrity;
- Oversee the creation and maintenance of hard copy personnel files including filing and archiving documents where necessary;
- Develop and maintain staff profiles on the intranet;
- Process and record invoices for the People and Culture department;
- Support ACER committees chaired by Chief People Officer (ASAC, OHS, Enterprise Agreement, etc.);
- Work with the Internal Communications team to maintain the People, Culture and Business Services internal intranet page to ensure staff are able to access accurate and up to date information;
- Assist other People and Culture Department staff when projects arise;
- Contribute to and participate in the implementation of process improvement initiatives for the People and Culture team;
- Any other duties as directed by the Chief People Officer or nominee.

Skills, knowledge and experience
Essential
- Strong administrative skills built through experience in a similar role
- Organisational and time management skills, with the ability to manage varied and conflicting demands and deliver work to agreed standards and tight timelines
- Well-developed communication (written and verbal) and interpersonal skills
- Ability to exercise discretion and to maintain a high level of confidentiality
- High level of computer literacy, particularly with MS Office Suite
- Exceptional attention to detail
- Strong customer service focus
- Ability to work both independently and as part of a team
- Willingness to learn and commitment to continuous improvement
- Experience working in a fast-paced environment with competing priorities.
Desirable
- Database or HRIS management experience
- Previous experience in an administrative and/or service based professional environment.
Education
Completed, or be working towards completion of, a Human Resources qualification.
General Information
This position is a full-time 12 month leave replacement opportunity. Commencing salary is $82,249 plus 17% superannuation.
